Quickbooks Guide: Sign In and Navigation

Objective: To show parish and school administrators how to sign in to their Quickbooks Online accounts, and to give a general overview of the navigation.

Sign In #

To sign in, simply visit http://www.quickbooks.com and press the button that says Sign In on the top right corner. You’ll then see a screen that looks more or less like this picture below. If you don’t have a sign in, please ask the pastor or principal of your parish to contact the Finance Department of the Archdiocese of San Francsico to set you up. If you have this information, simply type in your username and password in the appropriate fields. Keep in mind that from time to time, Quickbooks sometimes modifies the look and feel of their website, so the login page may not look exactly like it does below.

Privacy Mode #

At the top right corner of the Home screen is a switch labeled Privacy. When you click on it, Quickbooks hides all the financial numbers on the screen to protect this sensitive information from anyone walking by your computer. This is very helpful if you’re working in a public place such as an airport or a coffee shop or a busy parish or school office!

Left Menu Navigation #

The left menu is your main way to navigate Quickbooks Online. You’ll see selections like Dashboard, Banking, Expenses, and so on.

DASHBOARD allows user to see at a glance important such as cash balances, profit and loss, expenses, income, and more.

BANKING is a feature that may not be used with the Archdiocese of San Francisco at this time due to security concerns.

EXPENSES allows the user to view or add transactions, print checks, set up vendors, prepare 1099s, and more.

SALES may not be used at this time with the Archdiocese of San Francisco.


WORKERS allows the user to view, edit and add an employee or contractor.

REPORTS allows user to generate and save a variety of reports.

TAXES may not be used at this time with the Archdiocese of San Francisco.

ACCOUNTING allows the user to see their Chart of Accounts, balances, and register by account.

MY ACCOUNTANT allows user to request and share documents between location and accountant if needed.

CAPITAL, APPS, AND GET PAID FASTER TABS are not covered in this training session.

Tool Bar Navigation #

There’s also a tool bar navigation section with quick shortcuts to commonly used tools. Simply click on the gear ⚙ icon and a menu will pop out.

The rest of the Tool Bar #

QUICK CREATE OR THE + ICON is a tool that allows users to quickly perform common functions.
SEARCH ICON allows users to search and locate historical transactions.
GEAR ICON allows the user to access / update Company settings, Lists, Tools, and Profile.
HELP ICON is where users can get support 24/7 via references and links to FAQ in the QB Community, and a contact us button. From there, you can enter the help you need by asking the community, messaging an agent, or requesting a callback. Users will need to fill out contact info as requested.
NOTIFICATION ICON allows users to be notified of upcoming tasks such as invoices due.
